Post Secondary Information

Entering Post Secondary Information

Post secondary information is kept within the Event section of the student record.

All graduating seniors (even those graduating after first semester) should have post-secondary plan data entered into ASPEN. Students who have multiple post-secondary plans (e.g., college/university and work) should have the primary plan entered.

To Add Post Secondary Information

  1. Click the Student top tab.Post Secondary
  2. Search for the student by using Ctrl+F or Ctrl-I and typing in the name, or using the page pull-down list.
  3. Select the student by clicking the check box next to the student name.
  4. Click on the Transactions side tab then click on Events.
  5. From the Options menu click on Add.
  6. In the upper right hand corner of the screen, click on the drop-down menu for the templates list.
  7. Click on Post-Secondary Information.
  8. Enter the following information: Post Secondary information
    1. Enter the Event Date. Event dates should be included in each student record report. The event data is the date you are entering in the student post-secondary plan information.
    2. Select Post Secondary for the Event type. In the event type section you will see a drop down menu from which you will select Post-Secondary from the list.
    3. Enter the School Year. Enter the school year the post-secondary data pertains to.
    4. Enter the appropriate Post Secondary Plans. This section is a drop down menu. Here you should enter the post-secondary plan the student has indicated that they aspire to do in the next two years after high school graduation. The options are below:
      • Four-year College: a postsecondary institution that offers at least a bachelor's degree upon successful completion of established graduation requirements. Most commonly, four-year institutions in the United States are colleges and universities that offer undergraduate programs.
      • Military Academy: one of the five U.S. Service Academies that prepares students to enter the military or merchant marine service as a commissioned officer examples include: the U. S. Military Academy (West Point), U. S. Air Force Academy, U. S. Naval Academy, U. S. Coast Guard Academy, U. S. Merchant Marine Academy (Kings Point).
      • Two-year College/Community College: also referred to as a "junior" college that offers at most two academic years of education. High school graduates can enroll in such colleges often without any other requirements and earn Certificates of Completion or Associate's Degrees. Some two-year colleges are state-supported, or public; others are private. Many four-year colleges will offer full credit for the first two years of education completed at a community college. Many two-year college graduates transfer to four-year colleges or universities to complete the Bachelor's Degree in two additional years.
      • Military Enlistment: when a student enters a branch of the military directly out of high school and is full time active duty.
      • Vocational/Technical School: teaches the skills necessary for a particular line of work, such as electronics, fashion design, etc. Vocational schools can be private or government supported. They include fashion schools, art schools, culinary schools etc.
      • Apprentice/On-the-Job Training: is a combination of on-the-job training and related instruction in which workers learn the practical and theoretical aspects of a highly skilled occupation. These programs can be sponsored by individual employers, joint employer and labor groups, and/or employer associations.
      • Other: is any other category not included above. An example of is missionary work. If this is selected please indicate the specific post-secondary plan of the student in the ‘Comments’ section of ASPEN.
    5. Enter the Name of School, Training Program or Military Branch. University/Military Branch/ School or Training Name: in this section please indicate the name of the four year college/or university, community college, military branch etc. If other has been marked in the Post-Secondary Plan option leave this section blank.
    6. If necessary, enter the State. Enter the state where the student will be attending college or completing training beyond high school.
    7. Enter any comments in the Comment field. If ‘Other’ has been marked in the post-secondary section, indicate what the student plans to do as a post-secondary plan. If ‘Other’ was not indicated as a post-secondary plan, use this section to make any other comments you feel pertains to post -secondary planning for this student.
  9. Click Save. Once this information is entered click “Save”. This information may be changed if necessary in the ASPEN system by following the steps above.

To Update Post Secondary Information

  1. Click the Student top tab.
  2. Search for the student by using Ctrl+F or Ctrl-I and typing in the name, or using the page pull-down list.
  3. Select the student by clicking the check box next to the student’s name.
  4. Click on the Transaction side tab then click on Events.
  5. Click the Post Secondary item you want to edit.
  6. Update the appropriate information.
  7. Click Save.

To Print Post Secondary Information for One Student

  1. Click the Student top tab.
  2. Search for the student by using Ctrl+F or Ctrl-I and typing in the name, or using the page pull-down list.
  3. Select the student by clicking the check box next to the student name.
  4. Click the Transactions side tab then click on Events.
  5. Click the Field Set icon and select HQ-Post Secondary Info.
  6. Click the checkbox next to each Post Secondary entry.
  7. Go to the Options menu and click Show Selected.
  8. Only the Post Secondary data will appear.
  9. Click the Print icon and select your format. print icon
Post Secondary information

To Print Post Secondary Information for All Students

  1. Click the Global top tab.
  2. Click the Student side tab.
  3. Select Student Event Tracking from the list.
  4. Go to the Field Set icon and select Post Secondary Info
  5. Go to the Filter icon and select HQ-Student Event/Date On-After=? 
  6. A pop-up window will appear.

    Search Criteria
  7. For Event type select Post Secondary.
  8. For Event date enter any date before the data was entered
  9. Click Submit.
  10. A list of students with Post Secondary data will appear.
  11. Click the Print icon and select you format.print icon
